Builders Warehouse: Assessment Task 1

Brothers James and Peter Stewart founded Builders Warehouse (BW) in1984, establishing the first warehouse in Glasgow. The company underwent rapid expansion and now comprises over eighty branches throughout the UK with the headquarters based in Glasgow. Each regional area has a regional distribution center, with Glasgow having the main center that also acts as the regional center for Scotland. The distribution centers supply all of the warehouse branches, and are likely to play a key role in plans for Internet sales. The firm continues to open new warehouse branches and to look for new sites. Further growth has been generated as a result of the recent takeover of two rival firms.

The company sells a wide variety of tools, general building and decorating products ranging from timber to conservatories. The main focus has been on DIY customers but in recent years a concerted effort has been made to attract the custom of small building firms.

In the early years the company used manual paper based systems, and gradually computer systems have incrementally replaced these over the years. Different areas in the business have designed and implemented their own systems with little thought about compatibility and cross organization communication. The recent take-over of the two rival firms has further added to the problem, leaving BW with a disjointed and mismatched set of systems.

James and Peter have recognised the potential problems of having disjointed ICT systems, and have appointed Jackie Spence as Information Technology Director specifically to address the ICT problems. After a brief preliminary review Jackie has seen for herself that the current systems are only just coping and pose a real threat to the achievement of the firm’s strategic objectives of growth through opening new stores, and growth through existing warehouse outlets. Jackie quickly identified that problems exist in delivering adequate information in a suitable format to meet the needs of each level of management across the organization. She also has doubts whether adequate information is being made available to customers, suppliers and other external parties. Jackie has ultimate responsibility for ensuring compliance with IT legislation relating to the handling and management of information, and ensuring staff are adequately trained and informed about their roles and responsibilities in this area. She has strong doubts that the current systems are as robust as they should be, and in some areas may breach IT legislation requirements.

Her team will then design, implement and maintain a single new integrated system across the whole organization. It is envisaged that the new system will replace all of the existing systems in the branches and at the headquarters, and should provide all levels of management, functional areas and external parties with the information they require. The new system should also comply with current IT legislation, and suitable user training should be established.

Assessment Task 1

The members of the senior management team of the Builders Warehouse (BW) need to be updated about the potential that modern ICT can play in business decision-making. You work as a Systems Analyst for BW and Jackie Spence has tasked you to produce a two-part report that she will present to the senior management. The report will:

Part 1: Identify and evaluate the role of business information in decision-making.

1 Identify, compare and evaluate the nature of the information required for decision-making at strategic, tactical and operational levels in BW. 2 Identify and evaluate three types of information system that would support decision-making at strategic, tactical and operational levels.

4 Identify and evaluate three ICT innovations in terms of their relevance to the needs of BW, their managers and staff.
